The Operations Services Manager is responsible for overseeing the branch operations specialist team to ensure all branch and employee data is reported accurately and timely to Corporate. Assists in the development, implementation and enforcement of related policies and procedures, as well as assists in the streamlining of processes. Accountable for accuracy and compliance in onboarding, payroll and billing.

Responsibilities

GENERAL RESPONSIBILITIES:

  • Assists Director of Operations with strategic planning for new projects; oversees implementations; and ensures proper resource coverage for each project.
  • Provides customer service to field leadership and colleagues who are supported by the Shared Services Center.
  • Oversees the preparation, reviews, and updates of weekly reports.
  • Manages onboarding process for new hires, ensuring timely delivery and accurate processing of onboarding documentation.
  • Ensures compliance with all state/federal employee/employer requirements to include but not limited to I9 Forms and W4 forms; also ensures compliance with vetting ICs and SCs.
  • Assists with the preparation and monitoring of annual departmental budget and expenditures; ensures compliance with approved budgetary constraints.
  • Manages office supply inventory.
  • Establishes career development plans, training for direct reports and mentors and coaches in-line with human resources principles.
  • Conducts timely annual and interim performance evaluations and sets individual and team objectives to cultivate a culture of high performance and teamwork.
  • Ensures team maintains appropriate skills and competencies required to conduct operations timely, effectively and in compliance.
  • Maintains reporting to effectively monitor and manage productivity, accuracy and adherence to policies and procedures; aligns Key Performance Indicators (KPIs) with organizational goals.
  • Serves as key contact for A/R, A/P, and payroll issues for Service Center; as primary contact for branch operations escalations; and, as needed, as backup for Director of Operations.
  • Facilitates discussions with Client Services on outstanding A/R issues, as needed.
  • Participates in special projects and performs other duties as assigned.

Qualifications

EDUCATION & JOB REQUIREMENTS:

Bachelor’s degree in business or a related field with a minimum of five (5) years of a combination of onboarding, payroll and customer service experience with at least one (1) year of supervisory/management experience required. Minimum of nine (9) years of equivalent combination of post high school education and experience may be considered in lieu of degree. Willingness and ability to travel also required.

  • Skilled in communicating effectively verbally and in writing, including demonstrating expertise in client implementations.
  • Ability to establish and maintain effective working relationships.
  • Ability to effectively simultaneously manage multiple projects that vary in nature and scope.
  • Ability to prioritize, organize and perform multiple work assignments simultaneously while meeting assigned deadlines.
  • Ability to resolve complex problems through evaluating all options and implementing solutions.
  • Ability to develop, improve and streamline processes to meeting established goals and objectives.
  • Ability to manage conflict and demonstrate the courage to challenge organizational thinking and the status quo.
  • Ability to effectively influence others at various levels internal and external of the organization.
  • Knowledge of and the ability to demonstrate best practices and standards in payroll, reconciliation, billing and customer service.
  • Knowledge of job related local, state and federal laws, rules and regulations.
  • Proficient with Microsoft Office products, including Word, Excel, PowerPoint and Outlook.
